Terms & Conditions

1. Booking Contracts

Once you have completed the booking form, The Teapot Travellers will issue you a booking contract.
The booking is confirmed upon signature of the contract and payment of the deposit.
By signing, you agree to all Terms & Conditions outlined in this document.

2. Courtesy Call

A Google Meet call will be scheduled 3 weeks prior to the event.
During this call we will re-confirm details and discuss:

• Performance space and access

• Equipment required

• Parking and unloading

• Food and drink arrangements

• Song requests

• Interim/background music

• Final timings and schedule

3. Pricing

Our standard performance fee includes:

• All equipment required for our duo setup

• 2 x 45-minute live music sets

• A short break between sets

• Public Liability Insurance

Additional services:

• Extra musician(s): £250 per musician

• Additional performance (extra 45 minutes): £250

A full quote will be provided prior to booking.

4. Payment

• A deposit invoice will be issued upon booking.

• A final invoice for the remaining balance will be sent after the event (or beforehand if you prefer to pay early).

• If you wish to pay cash on the day, please inform us in advance.

Bookings are not secure until the deposit is received.

5. Travel & Accommodation

Where applicable:

• Events located more than 60 minutes from our base may incur a travel fee, we charge per mile, please request our rate at the time of quotation.

• If the event finishes late or travel conditions are unsafe, overnight accommodation may be required. This will be discussed at the time of booking.

6. Cancellation

If you need to cancel:

• More than 4 weeks before the event → Full deposit refund

• Less than 4 weeks before the event → Deposit is non-refundable

If we need to cancel:
This would only occur in exceptional or unforeseen circumstances.
We will:

1. Assist in finding a similar act, and

2. Offer a reduced fee or full refund depending on the situation.

7. Force Majeure

Neither party will be held liable for cancellations caused by events outside of reasonable control (e.g., extreme weather, illness, national emergencies, sudden venue closure).
In such cases, we will work with you to find a fair and practical solution.

8. Performance Requirements

To ensure the best performance possible, we request:

• A dry, safe, and level performance area of minimum 2m x 2m

• Access to at least one standard power outlet (can work with a battery powered amp or roaming if disused prior to booking, please specify in your booking form)

• Sufficient time for load-in, soundcheck, and setup (usually 60-90 minutes)

If conditions are unsafe or weather prevents performance, we reserve the right to stop until the issue is resolved.

9. Breaks & Overtime

• Our standard set includes a short break between performances.

10. Food & Drink

For events lasting over three hours, we kindly ask that the client provides basic refreshments for performers (water, soft drinks, and a light meal if available).

11. Song Requests

We are happy to incorporate song requests where possible.
Please provide any special requests at least 3 weeks before the event so we can prepare them properly.

12. Music in Breaks

We can provide background/interim music during breaks via our PA.
If you have a preferred playlist, you are welcome to send it to us.

13. Liability

We carry Public Liability Insurance.
However, we cannot accept responsibility for:

• Damage caused by guests interfering with equipment

• Unsafe performance conditions beyond our control

Clients are responsible for the behaviour of guests around equipment and the performance area.

14. Media Use

We may take short video clips or photos during the event for promotional use, only with your permission.
If you prefer not to have any media captured, please let us know in advance.

15. Communication Disclaimer

This is not our only musical project, and we are not a booking agency.
During busy periods (particularly summer), responses may take longer than usual — but rest assured we will always get back to you.
